Hello, hello, everyone.

Welcome back to TalkCast Speaking.

I'm your host, Emily, and I am so thrilled to have you here with us today.

Whether you're commuting to work, doing the dishes, or just relaxing with a cup of coffee, thank you

for letting us be part of your day.

Today, we are diving into a topic that makes many professional English learners break into a cold sweat.

Running a meeting, and specifically, navigating a meeting agenda.

We've all been there, sitting in a room, watching the clock tick, and wondering what is supposed to

happen next.

Oh, absolutely, Emily.

Just the thought of running a meeting in English makes my heart race.

Hi, everyone.

I'm Brian.

I recently started as a junior project coordinator at an international tech firm.

And guess what?

My manager just told me that next Tuesday, I have to lead our weekly team sync and set the agenda.

I have to admit, I'm completely terrified.

First of all, Brian, congratulations on the new role.

That is fantastic news.

But second of all, don't panic.

Deep breath.

You are in the right place.

Today, we are going to build a solid scaffold of phrases and strategies to help you lead that

meeting with total confidence.

By the time we finish, you'll be ready to run that sync like a pro.

How does that sound?

That sounds like a lifesaver, Emily. Seriously.

Because right now, even the word agenda sounds a bit formal and mysterious to me.

Like, I know it means a plan, but how do we actually use it in a conversation?

That is a perfect starting point.

Let's break it down.

In simple terms, an agenda is just a list of things to be discussed at a meeting.

Think of it as your roadmap.

When we use it in business, we often say we set the agenda, which means to write or decide the list

of topics before the meeting starts.

We also talk about sticking to the agenda, meaning staying focused on that list and not getting distracted.

Let me ask you, Brian, does your team usually receive the agenda beforehand? Yes.

Usually my manager emails it the day before.

But here's what confuses me.

The email always has bullet points.

And last week, a colleague said, let's move on to the next item.

I was so confused.

I looked around my desk thinking, what item?

Are we selling something?

That is a very common and natural point of confusion.

In a meeting context, an item simply means a topic or a point on the agenda.

It's short for agenda item.

So when they say the next item, they just mean the next topic on our list.

It has nothing to do with physical objects.

Let's say that again.

Agenda item.

Try using it in a sentence, Brian.

Okay, let me try.

Our first agenda item today is the budget review.

Did I get that right?

Spot on.

Beautifully done.

That sounded completely natural.

Now, there is one more special term you will almost always see at the very bottom of a meeting agenda.

It's written as three capital letters.

A -O -B.

A-O-B。

Have you ever seen that?

Oh, yes.

I saw that on yesterday's meeting slide.

I actually thought it was an acronym, like as of business or something.

What does A -O -B actually stand for?

It stands for any other business.

It's a formal way of saying, does anyone have anything else they want to talk about that wasn't on

the main list?

It usually comes at the very end of the meeting.

So at the end, you can say, is there any other business or simply any A -O -B?

It's a great opportunity for team members to bring up quick updates.

Ah, any other business.

That makes so much sense now.

I used to just sit there in silence wondering why we were spelling out letters.

This is already helping so much. Fantastic.

Now, let's move up our scaffolding to the next level, practical sentences and structures.

Imagine you're standing at the front of the room, or more likely these days, you are on a Zoom call.

How do you actually start?

You need a friendly, professional way to get the ball rolling.

Oh, get the ball rolling.

I love that idiom.

It means to get things started, right? Exactly.

It's a wonderful idiomatic way to kick off a meeting.

You can say, all right, everyone, let's get the ball rolling.

Or if you want to be a bit more direct and traditional, you can say, thank you all for coming.

Let's get started.

Now, Brian, how would you transition from saying hello to introducing the very first topic? Hmm.

Maybe now we look at the first thing?

That is grammatically fine, but in a business context, we can make it sound much more polished and professional.

Instead of look at the first thing, try using first, let's turn our attention to, or let's begin

with our first agenda item, which is, notice how smooth that sounds.

Let's turn our attention to.

It guides your listener's focus gently.

Oh, turn our attention to.

That sounds so elegant.

I'm definitely writing that one down.

Let me try saying it.

First, let's turn our attention to the project timeline.

Excellent delivery.

Your pronunciation was clear, and you put the stress right where it belongs, on attention and timeline.

Now, building on that, what happens when you finish discussing that timeline and need to move to the

next topic?

This is where many learners get stuck and just say, next, next.

Yes, I definitely do that.

I just say next and hope someone else starts talking.

What is a better way?

You can use what we call transition signals.

Here are two simple, golden phrases you can memorize.

First, moving on to our next item.

And second, that brings us to, for example, that brings us to our next agenda item, marketing updates.

It connects the two topics like a bridge.

That is so helpful.

Moving on to, and that brings us to.

Moving on to,以及这把我们带到。

It sounds like I am actually in control of the flow rather than just waiting around. Exactly.

You are the pilot of this plane, Brian.

Brian,

And as the pilot, sometimes you encounter turbulence.

Like when someone on your team starts talking too much about something completely unrelated.

Let's say you're discussing the timeline and someone starts complaining about the office coffee machine.

What do you do?

Oh boy.

That actually happened last week.

I didn't know what to say, so I just let them talk about coffee for 10 minutes.

It wasted so much time.

That is a classic scenario.

In English, we call this going off on a tangent or losing track.

As the meeting leader, it is your job to politely bring everyone back.

In Western business culture, timekeeping is highly valued, so people actually appreciate it if you

keep things moving.

Here is a perfect, polite phrase to do this.

In the interest of time, let's table this discussion for now and get back to the agenda.

Wait, table this discussion?

Like a kitchen table? Yes.

It sounds funny, doesn't it?

To table something in American English means to postpone it or put it aside for later.

It's like putting a file on a table to look at another day.

And in the interest of time just means because we have limited time.

而“in the interest of time”的意思就是因为我们有有限的时间。

So when you say, in the interest of time, let's table this, you are saying, because we are busy,

所以当你说“in the interest of time, let's table this”时,你是在说,因为我们很忙,

let's save this topic for later.

It is polite, but very firm. Wow.

In the interest of time, let's table this.

That is an incredibly powerful phrase.

It sounds so professional.

What about get back on track? Yes.

Let's get back on track is the perfect follow -up.

It uses the metaphor of a train on a track.

If the train goes off the track, it crashes.

We want our meeting to stay on the track.

So you can combine them.

In the interest of time, let's table the coffee discussion and get back on track with our timeline. Perfect.

I love that.

It makes me feel much more confident about handling interruptions.

But Emily, what if I need someone else to speak?

Like, I don't want to do all the talking.

How do I invite a teammate to present their agenda item?

Ah, managing the turn -taking.

This is a crucial skill.

A common mistake Chinese learners make is saying something too direct, like, now, Jerry, speak, please.

To native ears, speak, please can sound a bit like a command you give to a dog.

It's too blunt.

Oh, dear.

I think I might have said that before.

I'm so glad you told me.

What should I say instead to sound polite?

No worries, Brian.

That's why we are here.

Instead of commanding them to speak, you can say, I'd like to hand it over to Jerry for the

marketing update.

Or you can use a classic idiom, Jerry, the floor is yours.

The floor is yours means it is your turn to speak to the audience.

It's respectful and very standard.

The floor is yours and hand it over to.

Got it.

Those sound much friendlier and far more professional than speak, please.

They absolutely do.

Now, Brian, let's put all of this together.

We've built your scaffold.

Opening the meeting, moving between items, handling distractions, and passing the microphone.

Let's do a little role play.

I want you to practice running a mini -meeting with me.

Imagine you are leading our weekly sync.

I will play your colleague who gets easily distracted.

Are you ready? Whew. Okay.

My heart is beating a little fast, but let's do it.

I'm ready to try.

Whenever you're ready, Captain.

Lead the way.

All right.

Good morning, everyone.

Thanks for coming.

Let's get the ball rolling.

First, let's turn our attention to our website redesign project.

I'd like to hand it over to Emily for the update.

Emily, the floor is yours.

Thanks, Brian.

Well, the website is looking great.

But actually, speaking of the website, did anyone see that funny cat video on the homepage yesterday?

It reminded me of my own cat, Whiskers.

He did the funniest thing this morning.

Oh, um, Emily?

Your cat sounds very cute.

But in the interest of time, let's table this discussion about Whiskers and get back on track with

the website update.

And scene.

Oh my goodness, Brian.

That was absolutely brilliant.

You handled my distraction perfectly.

You were polite, you used the phrases correctly, and you kept control of the meeting.

How did it feel? Wow.

It actually felt really good.

Using those specific phrases gave me a kind of script to follow, so I didn't have to translate from

Chinese in my head while trying to be polite.

It just flowed naturally.

That is the power of formulaic language, or prefabricated phrases.

When you have these templates memorized, your brain doesn't have to work as hard, which frees up

your mental energy to actually listen and engage.

You did an incredible job today, Brian.

I can see a massive growth curve already.

Thank you so much, Emily.

I feel so much better about my meeting next Tuesday now.

I actually think I might enjoy it.

I have no doubt you will do wonderfully.

Now, before we wrap up today's episode, let's do a quick recap for our listeners.

Today, we learned some essential tools for managing a meeting agenda.

Remember, first, use agenda items to refer to the topics, and look out for AOB, any other business,

at the end of your agenda.

Second, use smooth transition signals, like turn our attention to, and that brings us to...

Third, manage time and distractions politely by saying, in the interest of time, let's table this

and get back on track.

And finally, invite others to speak by saying, I'll hand it over to, or the floor is yours.

Those are such great takeaways.

For everyone listening, my challenge to you is to choose just two of these phrases and try to use

them in your next English meeting.

Trust me, it makes a world of difference.

That is an excellent challenge, Brian.
